What is Personal & Business Mileage Reporting?
Personal & Business Mileage Reporting is a service that tracks the business and personal miles you drive in your company vehicle. This information is important for tax compliance—the IRS requires accurate tracking of how company vehicles are used for personal versus business purposes.
Every month, the system automatically collects your vehicle's total mileage data using vehicle telematics. You'll then receive an email or SMS notification asking you to report how many of those miles were for business and how many were for personal use. This helps your company accurately calculate and report your taxable benefits on your W-2 form and meets IRS requirements.

Who should use this service
If the Mileage tab is visible in your Inspiration Driver App, your company expects you to report your personal and business miles. Check first with your fleet manager to confirm if you are enrolled in this service.
How to report your mileage
Step 1: Open the Inspiration Driver App
Log into your Inspiration Driver App on your phone.
Step 2: Navigate to the Mileage section
Find the Mileage page in your app's main navigation.
Step 3: Select the month to report
Tap the blue Log Miles button for the month you want to report. You'll see the total miles driven in the previous month along with the reporting period.
Step 4: Choose how to enter your miles
You have two options—pick whichever is easiest for you:
By Mileage: Enter the actual number of personal miles driven (or business miles). The other field will calculate automatically.
By Percentage: Enter what percentage of your total miles were personal use (or business). The other field will calculate automatically.
Step 5: Review and confirm
Check that your numbers are correct, then tap the checkbox below the form to confirm your entries.
Step 6: Submit your report
Tap Submit. Your submission will be locked in the system and saved in your app. You'll see a history of all your previous months' submissions on your home page.
Step 7: Confirmation email
You'll receive an email confirming that your submission was received.
When to submit
You'll receive an email or SMS notification at the start of each month asking you to report the previous month's mileage. Submit as soon as possible to ensure accurate reporting for your company.
Important: Once you submit your mileage report, the entry cannot be edited or changed. Review your numbers carefully before tapping Submit.
Frequently asked questions
I made a mistake submitting my mileage. How do I make changes?
Once you tap Submit, your submission is locked in the system and cannot be edited through the app. If you need to request a change, please refer to your company policy and contact your company's fleet manager directly. They can help determine if corrections are allowed and how to proceed.
I received an email to log my miles, but my total mileage is wrong. How do I report this error?
Incorrect mileage data is rare because it comes directly from your vehicle's telematics. However, if you suspect an error, you can report it for review by emailing [email protected]. Please include:
Your full name
Company name
Last 6 digits of your vehicle's VIN
The reason you suspect an error
Supporting documents or evidence (such as a photo of your vehicle's recorded mileage)
Is it typical that I need to submit my personal and business miles every month?
Yes, if the Mileage tab is visible in your Inspiration Driver App, your company expects you to report your business and personal miles. Your company is enrolled in the Personal & Business Mileage Reporting service. If you have questions about whether this is required for your specific situation, check with your fleet manager.
What counts as "business" vs. "personal" mileage?
Generally, business mileage includes any driving you do for work-related purposes. Personal mileage includes commuting to work, running errands, and any other non-work driving. Your fleet manager or HR department can clarify your company's specific definitions if needed.
Can I submit a report for a previous month if I forgot?
Yes. You can go back and submit reports for previous months using the same process. Open the app, select the past month, and submit your mileage data. Contact your fleet manager if you're unsure about any deadlines for previous months.
